Vendor Qualification Process
Qualification, Documentation & Authorization
This page describes how Profixa Private Trust evaluates vendor applications, assigns qualification statuses, and authorizes service delivery. Registration does not constitute approval. No vendor may begin services before receiving a Written Start Authorization from the Trustee.
Qualification Statuses
Each application is assigned one of the following statuses by the Trustee or an authorized reviewer. Statuses reflect the current state of the qualification process and do not represent contractual commitments.
The application has been received and is awaiting initial review. No qualification determination has been made.
The application is missing required information. The Trustee or authorized reviewer will contact the applicant to request the outstanding items before review can continue.
The Trustee or an authorized reviewer is actively evaluating the applicant's qualifications, proposed services, and supporting information.
The applicant meets preliminary qualification requirements for the proposed service area. A Ready status does not authorize work, establish a contract, approve a budget, or create any payment obligation. Written Start Authorization is required before any services may begin.
The applicant may be considered for specifically defined services or limited capacity only. The applicable limitations will be documented in the approved Scope of Work. A Ready with Limits status carries the same restrictions as a Ready status.
Additional documentation, third-party verification, or a Trustee decision is required before a qualification determination can be made. The application remains open.
The applicant is not approved for the proposed opportunity at this time. This determination does not prevent future applications for other service areas or opportunities.
Vendor Authorization Chain
Every stage of the authorization process must be completed in sequence. A vendor must not begin work merely because an application was accepted or a qualification status was assigned. The Trustee retains final control at every stage.
Application
Vendor submits a complete registration through the Vendor Registration & Qualification Center.
Qualification Review
The Trustee or authorized reviewer evaluates the application against established criteria and assigns a qualification status.
Required Documentation
Qualified vendors are contacted to provide required onboarding documents through an approved secure process.
Approved Scope
The Trustee reviews and approves a defined Scope of Work specifying authorized services, boundaries, and expectations.
Budget Approval
The Approved Delivery Budget is separately reviewed and authorized. A proposed budget submitted during registration is not an Approved Delivery Budget.
Deliverables Agreement
The Deliverables Schedule & Acceptance Agreement documents specific deliverables, evidence requirements, and acceptance criteria.
Written Start Authorization
The Trustee issues a Written Start Authorization. No vendor may begin services before this authorization is received.
Authorized Delivery
The vendor delivers authorized services within the approved scope, budget, and schedule. Progress is documented and reported.
Vendor Document Requirements
The Trust's vendor onboarding process is organized into two phases: documents required for qualification, and documents required before authorized service delivery. Confidential documents are collected separately through an approved secure process — not through the public registration form.
Phase 1 — Qualification Documents
Phase 2 — Activation Documents (Required Before Authorized Delivery)
90-Day Delivery Planning Framework
The Trust uses a structured 90-day planning framework to organize vendor service delivery. These periods are planning guidelines, not automatic contract terms. The actual schedule must follow the approved Scope of Work and Deliverables Schedule & Acceptance Agreement.
No vendor may begin the 90-day service period before receiving Written Start Authorization.
